Workers' Compensation
Your state sets the forms and deadlines, and the medical record sets the pace. Jove’s workers’ compensation case management software follows your state’s milestones through custom fields and questionnaires built during implementation, and it flags the claims your firm’s criteria mark as stalled.
Every state writes its own workers’ compensation laws, down to the forms, the deadlines and how attorney fees are set. In California, the employer must provide the DWC-1 claim form within one working day of learning of an injury that causes lost time beyond the shift or needs more than first aid. In Texas, private employers can choose whether to carry workers’ comp coverage at all. Florida bars a Petition for Benefits filed more than two years after the worker knew or should have known the injury was work-related, and any indemnity payment or treatment furnished extends that deadline to a year from the date it was provided.
When a system can’t follow your state’s rules, deadlines get tracked by hand, forms live outside the system, and the claims that matter most wait on someone remembering what that state requires.
A claim that slips past a state deadline can cost your client benefits they were owed. Just as damaging is a claim nobody has touched in two months, until the client calls to ask why. A client’s benefits should never depend on someone’s memory.
Jove is run by legal operators who have lived through onboarding new systems, and it’s built to be easily configured. Your firm can configure any field and every report, and every step from intake to disbursal can follow your practice’s process. Your state’s forms, deadlines and milestones become custom fields and questionnaires, built with you during implementation, which includes hands-on onboarding and guidance. Your firm can add more at any point as its practice changes.
Getting a comp practice running on Jove comes down to three things:
Workers’ comp claims move toward milestones your state sets, and they don’t always move on their own. Treatment stalls. An IME gets delayed. A hearing date sits unscheduled. Matter Trackers show the whole caseload in one view, with issues flagged in red against the criteria your firm sets, so a claim nobody has touched surfaces the same way any other issue does.
Smart Reminders prompt the next action when it is due, and SOL Calendars turn the filing deadlines your firm sets up for its state into reminders for the people responsible.
Workers’ comp runs on medical management. Which body part was injured. Whether the client has reached maximum medical improvement. What the IME doctor found, what impairment rating followed, and whether the client can return to work or the employer can offer light duty. Your team tracks all of it, claim by claim, often across several providers at once.
In Jove, workers’ comp medical records, reports and bills live on the case in Evidence & Docs, with smart search and version control. Outstanding Requests groups medical requests by provider, so one call follows up on every case waiting on that office, and the ledger shows which bills are in and which are missing. Custom fields on the questionnaire carry the details this practice turns on: the injured body part, the MMI date, the benefit type (temporary total or permanent partial) and return-to-work status.
A workers’ comp paralegal keeps more people in the loop than almost anyone in the firm: the client, the treating doctors and the specialists they refer to, the adjuster, the employer, and sometimes a nurse case manager. Jove’s involvements list shows everyone associated with the case, from medical providers to insurers.
Text or call a client directly from the case. Emails become case notes automatically. Every conversation stays with the claim, so whoever picks up the file next knows where it stands.
Workers’ comp intake is less of a race than personal injury intake. Some calls follow a catastrophic injury. Many follow an injury that built up over years, from a worker who waited to call, sometimes out of worry about how the employer would react. Intake has to understand what happened, where and for how long before anyone talks about a claim.
Nested questionnaires keep that conversation consistent. They prompt for more detail only when an answer calls for it, so every intake gathers the facts your attorneys need on the first call.
A worker hurt by a defective machine may have a workers’ comp claim and a third-party personal injury claim against the manufacturer. So may a worker hit by another driver on a delivery route. In most states the comp carrier can recover what it paid from a third-party settlement, so the two files have to move in step. If the machine has injured others, the same facts can put the client in a mass tort. And when the disability lasts a year or longer, the client may also have a Social Security Disability claim.
Linked Companion Cases hold the comp claim, the third-party claim and any disability claim together on the same client.
For a claimant firm, it runs workers’ comp claims end to end: the state’s forms and deadlines, medical records and providers, communication with adjusters and employers, and the status of every claim. Employers and insurers use a different category, claims administration software, to manage the same claims from the other side.
Yes. Your state’s forms, deadlines and milestones are set up as custom fields and questionnaires when your firm goes live, and more can be added later as the practice changes. Nothing ships as a fixed template for one state.
Every record, report and bill attaches to the claim itself, with smart search and version control. Requests still outstanding are grouped by the provider you are chasing, and a ledger shows at a glance what has arrived and what has not.
Your firm sets the criteria that count as a problem, and Matter Trackers surface those claims in red across the caseload, so a quiet file shows up before the client calls to ask about it.
Yes. Each case type gets its own fields, workflows and reports, and Linked Companion Cases connect a comp claim to the third-party injury case for the same client.
